How do I add a new member?
A: Go to the Members tab and click the ‘+ Add’ button in the top right corner.
 
How do I edit a member’s information?
A: Click on a member’s profile, then click ‘Edit’ in the top right to change their demographic info or manage dependents. However, if your group is connected via HRIS you must change this information in the HRIS system. If you do not, it will revert back to what is in the HRIS system each time there is a file transfer.
 
Where can I view my plan’s details, fees, and vendor list?
A: Go to the Plan tab. The Details, Vendors, Fees, Benefits, and Plan Documents sections give you full visibility into all aspects of the plan.
 
Where can I find plan documents like SBCs and SPDs?
A: These documents are located under the Plan > Documents
 
Where can I find and download 1095 tax forms?
A: Go to Plans > Details > click ‘Download all 1095s.’
 
Where can I view past invoices?
A: Invoices are available in the Invoices tab, broken down by vendor and by individual member.
 
What do the terms on the monthly invoice mean?
  • Reserves: Funds that are pulled each month from the employer and that are being set aside (Agg factor) to be used to pay an individual or plan claim
  • Fixed Costs: Funds that are pulled each month from the employer and transferred out to pay 3rd-party fees (e.g., Broker Fee, TPA Fee)
  • Adjustments: Changes from the prior plan month (shown visually by including specific personnel movements for maximum transparency
  • Variable Costs: Fees not based on tiers (e.g., DPC)
  • Tier-based Fees: PEPM calculated by member tier
 
How does Yuzu track money movement?
A: The Accounting tab uses a double-ledger system to show all money in and out of the FBO account. Each transaction tracks where the money came from and where it went.
 
What do the accounting totals mean?
  • Cash: Unspent claim funds
  • Payments in Transit: Funds awaiting transfer
  • Total Premiums Paid: All funds pulled to date
  • Reserves: Money set aside for pending claims
  • Stoploss Spend: Claims paid
 
How do I give someone on my team access to the portal?
  • To grant access to an employer, go to the group > Settings > Team > ‘+Add Member’.
  • For a vendor to add more vendors to their group, go to the main homepage ‘Settings’ in the far left side bar > Team > ‘+ Add Member’
 
How do I add someone on my team to receive invoices?
Go to the group > click 'Settings' at the bottom of the sidebar > tab 'Business Details' > then '+Add' on the 'Email to send invoices' button
 
How do I enable email notifications for portal updates?
A: Click your initials in the top right > Account Settings > Notifications > check ‘Subscribe’ and ‘Receive Email.’

COBRA Questions

 
If Yuzu is managing COBRA, what is the process?
  1. Termination: This will occur either manually through eligibility changes managed by the employer or automatically through an updated file from a Human Resources Information System (HRIS). When a member is terminated and they are COBRA eligible, Yuzu updates their status to ‘COBRA Pending, Awaiting Election’
      • Yuzu will not invoice the Employer for their coverage post-End Date
  1. Notice sent: Yuzu sends a COBRA notice to the member via Certified Mail and by email
      • If a member opted in electronic communication, then only an email is sent
  1. Portal updated: If the member chooses to do so, they login to the Yuzu portal and complete the ‘Elect COBRA’ electronic form and be prompted to connect their bank account
  1. COBRA Coverage: Yuzu will then Update their status to ‘COBRA Active,’ generate their monthly invoice, and pull the premium amount from their connected bank account each month
 
If Yuzu is not managing COBRA, what steps need to be taken?
A: Yuzu Health needs to know when a COBRA member has elected to COBRA even when Yuzu Health is not managing it.
  1. Termination: When a member is terminated (no matter if they are COBRA eligible or not) Yuzu updates their status to “COBRA Pending, Awaiting Election”
      • Yuzu will not invoice the Employer for their coverage post-End Date
  1. Notice sent: External COBRA vendor and/or Employer sends notices, collects decision, collects member’s bank information
      • External COBRA vendor to collect member premium from member and reimburse to Employer
  1. Portal updated: Employer (or broker, plan designer on Employer’s behalf) collects election decisions and logs into Yuzu portal to update status
      • Upon ‘Election’ Yuzu will reinstate invoicing the Employer for their coverage for the extent of their time as COBRA Active
  1. Ending COBRA Coverage: External COBRA vendor to update Employer (or broker, plan designer on Employer’s behalf) when members stop coverage
      • Employer to log into Yuzu portal to set COBRA End Date
      • Yuzu will not invoice the Employer for their coverage post-End Date
How do I remove a member or update their COBRA status?
A: Go to the member’s profile, click the Edit tab, and choose ‘Remove Member.’ You can also indicate COBRA election from this menu.
 
How do I check who is on COBRA and what their premium is?
A: Go to the Members tab, toggle to ‘Inactive Employees,’ and view the status of each individual by clicking into their profile. Premium information is available by tier on the ‘Plan’ tab
